Overview in the event area · demo data

Seven tools. None of them made for each other.

The fee is in the chat, the contract in someone's inbox, the arrival time on a scrap of paper. And when someone asks what the night actually cost, it takes an hour to find out.

Everyone knows it. It doesn't have to be that way.

One account.Three areas.

Wearing several hats doesn't mean a second account. One login, separate workspaces for event, agency and artist – each with its own navigation. Switching takes one click.

  • One night, one venue, every number.

Line-up, staff, food and drink, tickets and marketing – with a balance sheet that keeps up.

    • Plan events end to end

Line-up, travel, teams, marketing, tickets and food and drink in one flow.

    • Keep your finances in view

Automatic net/gross calculation and an event balance sheet that keeps up.

    • Work with partners

Shared events, cost bearers, change log and separate billing.

  • Who's free on the twelfth?

Every request, every counter-offer, every contract – in one thread.

    • Manage your roster

Invite artists and decide per person who answers requests and who pays their share of the plan – the artist or the agency.

    • Plan bookings

The monthly calendar shows, per artist, every date your agency is part of – all booking details one click away.

    • Negotiate requests

Accept, decline or make a counter-offer – in both directions. On confirmation, the contract and the fee invoice are created automatically; the DATEV export takes your invoices to your tax advisor.

  • Be visible. Stay on top of dates. Get paid.

    The rest happens on stage.

    • Publish your portfolio

Profile, media, technical rider, news and shows in one place.

    • Control your availability

Free days and your own dates in the monthly calendar. Bookings your agency creates for you show up there too.

    • Run your business

Requests, expenses, contracts and templates – invoices that go out as e-invoices, and a DATEV export for your tax advisor (booking batch and receipts).

One booking. One path.

Without anyone entering anything twice.

Contracts, invoices. Created with the booking.

When a booking is confirmed, BSTAGE creates the contract and the invoice for the fee by itself – with a sequential number, in both parties' document centres, under the same number.

  • E-invoicing, no extra software

Every invoice goes out as a PDF/A-3 that carries the invoice data as factur-x.xml: ZUGFeRD 2.5.2 in the EN 16931 profile. You see a familiar PDF; your customer's accounting reads it automatically. Externally validated with Mustang and veraPDF, without a single violation.

  • XRechnung 3.0 for public clients

City hall, cultural office, municipal theatre: flip a switch on the invoice, enter the Leitweg-ID and IBAN – BSTAGE produces the required format and already checks the Leitweg-ID in the form.

  • Store your signature once

Your signature sits in your profile and is inserted when you sign, with name and time in the document – a simple electronic signature under eIDAS. After a change request you write a new contract version; the request stays in the history.

  • Your own Word template

Agencies upload their .docx, BSTAGE fills in the placeholders and delivers a PDF – this one with the e-invoice attached as well.

  • DATEV export for your tax advisor

A booking batch in the DATEV format plus the matching receipts as a ZIP – for a month, a quarter or a year. Artists with invoices and expenses, agencies with their invoices, promoters with the invoices they receive in BSTAGE.

Discover instead of searching.

Backstage

The scene's social network: your own feed, posts with media, following and suggestions for the right contacts. Search finds artists, agencies and events from two letters on.

Marketplace

Open slots at events: find gigs, apply with your fee – or publish open slots from your event plan.

Visible is what you share.

Anyone who works on an event without an account gets a link with a password – and sees only what the job needs.

  • Secure sign-in

Email confirmation, Google sign-in and two-factor authentication with recovery codes.

  • Separated data

Every workspace is isolated from the others. The server checks permissions.

  • Private files

Documents and uploads live in private storage and are only delivered after sign-in.

  • Visibility in your hands

Artists decide what is public. Hidden availability never leaves the server.

  • Guest access without finances

Password-protected, time-limited and revocable at any time.

  • Moderation

Profiles and content can be reported and are reviewed.
